Why we recommend Google for Business Domains, and why set up matters more than you think
Setting up a business domain is one of those tasks that feels deceptively simple. A quick technical step: choose a provider, connect an email address, let’s go.
In reality, domain setup is a source of serious “friction” for many of our clients, and one that is completely avoidable. Your emails don’t authenticate properly, access is unclear, your tools aren’t connecting as expected, and something that should be invisible becomes painfully visible – unavoidable.
That’s why we’re introducing a new service at Upsource: professional domain setup on Google, delivered with a specialist partner and supported by your VA.
Domain matters more than you think
Your domain is not just your email address. It’s the corner stone that everything else in your business sits on.
When your domain is set up properly, it means secure email delivery, easy access permissions, reliable file ownership, and smoother collaboration as your business grows. When it’s set up poorly, you will face problems, maybe not right away, but they will surface later, often at the exact moment you least want them to; like when you’re onboarding a new client or team member.
For B2B service businesses, where credibility, responsiveness, and continuity matter, your foundation is critical. If your domain is misconfigured, it’s going to cause you endless distractions and wrinkles in your service.
Why we often recommend Google for SME B2B services
Upsource currently supports clients working across both Microsoft and Google ecosystems – the split is about 50/50. We’re not saying that one is right and the other is wrong for your business.
That being said, for many SME B2B service businesses, Google offers a simpler, more cost-effective starting point.
Google Workspace is a fully integrated environment where email, calendars, meetings, files, and permissions are designed to work together. For teams, that matters. It reduces complexity, limits tool sprawl, and makes it easier for new team members or VAs to step in and support you quickly.
Cost is, of course, always a factor. Google takes a relatively modest monthly fee per user, to give you a professional email address, reliable video meetings with recording and transcription, generous storage, built-in scheduling tools, and increasingly powerful AI features, all within one system.
Perhaps most importantly, Google Workspace tends to fit naturally with the wider tech stacks used by service-based SMEs, making future third party integrations and automations much easier for your VA.
Domain setup is rarely “one and done” – unless you get it right
Google makes domain setup look straightforward, but behind the scenes there are a lot of moving parts. DNS records, email authentication, security settings, and user permissions all need to be configured correctly.
Unfortunately, small errors don’t always make themselves known straight away. They often appear later as emails landing in spam folders, access issues when someone leaves the business, or confusion over file ownership. At that point, fixing the problem is much more disruptive than getting it right in the first place.
This is why we don’t recommend treating domain setup as a DIY task unless you are genuinely comfortable with the technical detail.
What we’re offering
Our new service focuses on one thing: getting your domain properly set up on Google.
So your domain is correctly connected to Google Workspace, your email is authenticated and secure, and the foundations are in place for your business to operate smoothly.
You can have confidence that the basics are done right.
“Your service provider saved the IT day. Honestly what a god-send she is! On the call she logged into the google account and got everything configured in the back-end (apparently everything was initially showing up as red which apparently is bad lol but now it’s all green – hurrah!). There will still need to be some testing and reports to be looked over in the next few weeks but we’re definitely in a much better place tech-wise now. We were in awe of what she knew how to do – it’s all foreign to us!“

What next
Once your domain is set up correctly, it becomes far easier to better your business operations day to day.
Google Workspace can give you improved inbox management, clearer calendars, more organised file storage, and fewer disconnected tools, particularly when you’re using it intentionally.
This is where your VA comes in.
We can support you with refining workflows, improving collaboration, reducing unnecessary software, implementing AI automations, and helping your team actually use the tools you’re already paying for.
Let’s get started
If you’d like your domain set up on Google cleanly and correctly, speak to your Upsource VA or contact Caroline directly. We’ll handle the setup, coordinate with our specialist partner, and make sure your systems support your business rather than distract from it.
